As a member of the global Brand & Creative team, the Systems Lead is responsible for driving the strategy, implementation, training, and governance of Jacobs’ global Document Template System, our MS Office-based authoring environment.

This role is an expert in both systems strategy and hands-on operation — leveraging AI, automation, and integrations to optimize workflows, improve adoption, and future-proof Jacobs’ brand experience. This individual will collaborate across IT, Creative Services, Marketing, Operations, Procurement, and external vendor-partners to deliver scalable solutions that make Jacobs’ Document Template System indispensable to our employees.

Key Responsibilities

  • Document Template System platform ownership: Serve as the primary owner and administrator for Jacobs’ Microsoft Office templates and macros. Lead the planning, testing, deployment, and ongoing improvement of this system in partnership with IT, developers, and vendor-partners.
  • Adoption: Deliver training, onboarding, and adoption programs for employees globally. Monitor usage, gather feedback, and continuously iterate systems to improve user experience and compliance.
  • Technology & innovation: Leverage AI, automation, and workflow integrations to streamline processes and enhance efficiency. Partner with IT to identify opportunities to connect with Jacobs’ broader technology ecosystem. Serve as a bridge between creative and technical disciplines, advocating for users while driving technical excellence.

Here's what you'll need

  • Bachelor’s degree in Design, Marketing, Communications, IT, or related field.
  • 2-5 years of experience in brand systems, communications, or marketing technology management.
  • Advanced knowledge of Microsoft Office (Word, PowerPoint, Excel), including custom templates, macros, and styles.
  • Excellent interpersonal, oral, and written communication skills.
  • Strong project management and organizational skills with the ability to juggle multiple initiatives.
