Job Description

Client Experience & Sales Coordinator

At IVONNE, our Client Experience & Sales Coordinator role goes far beyond traditional front desk duties. You’ll be a trusted guide, a relationship builder, and a vital contributor to the growth of our clinic. As the first point of contact for new clients and a consistent support for returning ones, you’ll help clients understand the value of their treatment journey and confidently guide them toward the best choices for their goals.

Responsibilities

  • Check in and welcome clients warmly, making them feel seen, valued, and cared for.
  • Process payments, rebook future appointments, and recommend relevant services and products.
  • Direct clients to treatment rooms and ensure they feel comfortable.
  • Answer, screen, and manage incoming calls and emails, providing timely support.
  • Maintain a tidy and well-stocked reception and skincare desk area.
  • Provide knowledgeable support during consultations, assisting clients with options and next steps.
  • Manage inventory including mail, deliveries, and supply restocking.
  • Follow clinic safety procedures to maintain a secure environment.
  • Place orders and track office and clinic supply inventory using existing templates.
  • Support treatment room turnover by ensuring cleanliness and organization.
  • Assist with administrative tasks, including content preparation and occasional social media updates.
  • Uphold health and safety standards as a licensed Personal Service Setting.
  • Contribute to sales growth by meeting daily goals and identifying client enhancement opportunities.

Role Requirements

  • Genuine passion for client care, beauty, and wellness.
  • Strong communication and interpersonal skills.
  • Proven experience in sales or service-based roles; luxury retail or high-end hospitality experience is a bonus.
  • Confidence in presenting service options, packages, and rebooking opportunities.
  • Polished, professional appearance and demeanor.
  • Comfortable navigating booking systems, CRMs, and client intake tools.
  • Highly organized, attentive to detail, and proactive in follow-ups.
  • Ability to thrive in a fast-paced, boutique clinic environment.
