About the Role

The Administrative Assistant supports the Americas Product organization across the full product lifecycle offering high‑level administrative support to the Global Product team. The candidate must be highly organized, adaptable, and capable of managing multiple priorities while maintaining professionalism and discretion.

Responsibilities

  • Manage calendars, schedules, and meeting logistics.
  • Coordinate internal and external meetings with room setup and catering.
  • Handle travel arrangements and related logistics.
  • Prepare and process expense reports, invoices, and documentation.
  • Create detailed meeting invitations and materials.
  • Maintain organized electronic files and support onboarding.
  • Provide administrative backup and assist with editing memos and presentations.

Requirements

  • 7+ years of executive and personal assistant experience.
  • Exceptional communication, customer service, and organizational skills.
  • Proficiency in Microsoft Office and supporting global teams.
  • Strong interpersonal skills, discretion, and adaptability in a fast-paced environment.
  • Proactive problem-solving and ability to handle confidential information.

Work Arrangement

This role requires spending at least four full days each week working in an Invesco office.
