The Opportunity: Operations Specialist
The Operations Specialist is responsible for coordinating, supporting, and optimizing all aspects of employee learning programs and associated technologies within the Commercial Enablement Team at Intuitive. This position blends logistics and administrative support for commercial training programs with hands-on administration of learning technology platforms. The Operations Specialist partners closely with stakeholders to deliver operational excellence, drive process improvements, and ensure a seamless, high-quality learning experience for participants.
Roles & Responsibilities
Program Coordination & Logistics:
- Coordinate travel and logistics for Commercial Enablement programs (flights, hotels, transportation, VISA requirements, etc.)
- Manage enrollment processes, and provide high-touch support for program participants and facilitators
- Manage program schedules, administrative needs, and ensure all details are in place for successful training events
- Act as point of contact with travel agencies to deliver seamless experiences and ensure cost-effectiveness
- Track and analyze costs, identifying areas to reduce spend and improve efficiency
Compliance & Learning Technology Support
- Maintain accurate training records and documentation, adhering to Quality Management System requirements
- Administer Surveys and the Learning Management System (LMS)
- Present continuous improvements to systems, tools, and processes to enhance the learner experience to stakeholders
- Troubleshoot and resolve issues with learning technologies, create and maintain user guides and FAQs
- Train team members and program facilitators on best practices for using learning technology
General & Strategic
- Proactively anticipate risks and roadblocks; take steps to resolve issues early and remove obstacles for the team
- Address current and future opportunities and challenges for sustainable program success
- Model company values and contribute to a culture of growth, learning, and excellence
- Demonstrate exceptional customer service and the ability to balance organizational, team, and individual needs in decision-making
- Act independently, manage competing priorities, and deliver results in a fast-paced environment
Qualifications
- Bachelor’s degree preferred or 4+ years of relevant experience
- Technical proficiency with Excel, Word, PowerPoint; ability to learn new software quickly
- Excellent problem-solving and process improvement mindset
- Strong organizational skills, attention to detail, and ability to manage multiple projects
- Exceptional customer service, communication (verbal/written), and presentation skills
- Team player with a track record of building productive, cross-functional relationships
- Willing and able to provide occasional support for program needs (travel)
