Overview
The Asistente Administrativo role at InterSystems provides high quality administrative support for internal and external clients, ensuring smooth communication between the Barcelona office and global offices.
Office and Reception
- Manage daily office operations and act as main contact for suppliers.
- Welcome visitors professionally and operate the telephone system.
- Distribute incoming mail and manage outgoing shipments cost-effectively.
- Maintain office orderliness, supplies, and equipment.
Administrative Support
- Organize travel arrangements and accommodations per company policies.
- Assist with travel bookings, report creation, and calendar updates.
- Coordinate team agendas, prepare meeting rooms, and schedule events.
- Support marketing material coordination and assist with finance processes.
- Manage databases, files, and provide support to international colleagues.
Executive Assistant Responsibilities
- Support the Regional Managing Director with agenda management.
- Coordinate senior managers' calendars to avoid scheduling conflicts.
- Prepare presentations, reports and confidential correspondence.
Qualifications and Skills
- At least 5 years of administrative experience in a corporate office.
- Strong organizational skills with the ability to multitask.
- Professional, proactive, and capable of both independent and team work.
- Fluency in Spanish and excellent written and spoken English.
- Advanced skills in MS Word, Excel, and PowerPoint.
- Professional appearance and behavior, with excellent communication skills.
- Discretion in handling confidential information.
