About The Position
The Administrative Assistant for Communications, Finance, and IT provides essential administrative support and logistical assistance to the Communications, Finance, and IT departments. The role involves scheduling, meeting support, document organization, travel coordination, vendor communication, and inventory management. This position reports to the Chief Communications Officer, Chief Financial Officer, and Director of IT.
Role Responsibilities
- Communications Support: Prepare meeting materials, circulate agendas and notes, manage contracts and invoices, track budgets, schedule meetings, conduct minor research, manage inquiries, and assist with travel and presentation preparation.
- Finance Support: Prepare meetings, assist with scheduling, organize documents, handle travel logistics, update expense report statuses, and communicate with vendors.
- IT Support: Assist with equipment purchasing, inventory management, asset entry, and organization of storage locations.
- Reception Support: Provide front desk coverage during breaks and absences, greet visitors, answer multi-line calls, manage mail, and maintain shared calendars.
Qualifications & Experience
Minimum one year of professional administrative and clerical experience with proven multitasking abilities. Proficiency in Microsoft Office and familiarity with Gmail, Google Slides, and Sheets are required; proficiency in Spanish is preferred. Candidates must be legally authorized to work in the U.S. Note: Visa sponsorship is not available.

Compensation, Benefits & Perks

Work Arrangement
This position requires approximately 40 hours per week and follows a hybrid in-office model with three days in the office and the remainder remote. Wednesday is the mandatory in-office anchor day.
