About the Role

The Front Desk Executive – Administration at Indian Institute for Human Settlements in Bengaluru is responsible for managing all front desk activities including greeting visitors, handling phone calls, and managing courier packages. This contractual position is for an initial term of 11 months, with potential for renewal and regularization.

Key Responsibilities

  • Greeting visitors and ensuring a pleasant reception experience.
  • Receiving and logging phone calls accurately.
  • Staying updated on institutional activities and programs.
  • Providing support during events and senior delegate visits.
  • Managing courier and postal queries, vendor handling, and invoicing.
  • Conducting facility rounds and ensuring housekeeping and security readiness.
  • Coordinating procurement and vendor management for printed materials.
  • Assisting the Admin Manager in daily briefs and support staff coordination.
  • Maintaining MIS on administrative processes and periodic reporting.
  • Checking security registers and additional tasks as assigned by the Supervisor.
  • Supporting various IIHS activities including academics, research, training, and operations.
  • Possibly traveling on IIHS work within or outside India.

Person Specification

The ideal candidate will have a bachelor’s degree with 3-5 years of relevant experience, proven front desk and call handling abilities, and strong communication skills in English, Hindi, and Kannada. Competency in MS Excel and experience in managing housekeeping and security teams is required. A pleasing personality, punctuality, and the ability to handle pressure gracefully are essential.

Additional Information

This is a contractual engagement with exclusivity terms. The role requires coordination with the Manager – Administration and effective collaboration with diverse internal teams and external stakeholders. The position is based in Bengaluru and might require travel within India.
