Role Overview

The Podcast Operations Coordinator plays a critical role in supporting the COO and the broader Podcast Operations team at iHeartMedia. This role focuses on streamlining workflows, maintaining accurate records, and ensuring effective cross-functional coordination across various departments.

Key Responsibilities

  • Deal & Contract Management: Track podcast deal negotiations using AirTable, manage communications, sign agreements, coordinate post-contract logistics, and handle invoice approval.
  • Meeting & Travel Coordination: Organize internal meetings, prepare agendas, take notes, book travel arrangements for the COO, and manage expense reports.
  • Live Events Support: Assist with coordination and logistics for podcast-related live events and awards, managing on-site functions and talent requirements.
  • Leadership Communications: Prepare biweekly updates for the President of iHeartPodcasts by collecting inputs from team leads.
  • AirTable Management: Ensure accuracy of seasonal dates and deal terms, maintain data integrity, and optimize usage across teams.
  • Reporting & Analysis: Create diversity reports, compile revenue/download data for senior leadership, and manage profit share statements.
  • Cross-Functional Coordination: Act as liaison between production, marketing, sales, and finance teams.

Requirements

  • 2–4 years of experience in operations, project coordination, media production, or podcast-related roles.
  • Proven experience supporting senior leadership in a fast-paced environment.
  • Familiarity with AirTable and ability to compile data reports.
  • Strong organizational skills for managing meetings, travel, and live events.
  • Willingness to travel and support on-site podcast events.
