About the role

Account Executive Administration Officer

ICF Next brings together strategy, creativity, content, and outreach to deliver meaningful communication campaigns and events for the European market and beyond. As part of this mission, we are looking for a highly organised and detail-oriented Account Executive to support our Framework Contract activities across all portfolios. This role sits at the intersection of operations, data, and communication excellence. You will play a key role behind the scenes ensuring that our teams have accurate data, structured processes, clean tools, and solid reporting foundations – all essential elements to fuel strategic and creative work. The ideal candidate is digitally savvy, analytical, precise, and able to translate operational information into clarity for others.

The Role & Responsibilities:

Operational & Administrative Excellence
  • Manage and update portals used across contracts, ensuring complete, accurate, and timely information.
  • Classify, organise, and maintain files and documentation in line with internal standards.
  • Provide administrative support across teams to account directors and project directors.
Data Management & Analytics
  • Collect, clean, and consolidate data from various financial & planning tools.
  • Prepare datasets and analyses for monthly and quarterly reporting
  • Identify gaps, inconsistencies, or errors in data and proactively propose fixes.
  • Support the follow-up of dashboards and performance indicators.
CRM & Pipeline Management
  • Keep the CRM up to date: opportunities, contacts, project information, and status changes.
  • Perform regular quality checks and cleaning of the pipeline to ensure accuracy.
  • Support forecasting by ensuring data completeness and alignment with ongoing work.
Quality Control & Internal Coordination
  • Conduct systematic quality checks on data, documents, and deliverables.
  • Coordinate with teams to gather missing inputs and ensure deadlines are met.
  • Help maintain reporting calendars and support internal communication flows related to Frameworks.
Presentation & Documentation Support
  • Contribute to the preparation of clear and well-structured presentation materials for internal purposes or client-facing summaries.
  • Support in drafting templates, guidelines, and process documentation when relevant.
