Job Description

Job Summary

Perform advanced real estate closing tasks for vacation ownership, including deeded property, right-to-use, and financed sales. Efficiently process contracts, entity documents, and loans from receipt through review, closing, origination, and recordation. Ensure signed contract paperwork is accurate and complete. Verify the validity of contracts and closing documents according to established guidelines. Review documents like Trust Agreements and corporate documents to understand authorities and requirements for real estate transactions.

General Office Duties

Perform general office duties such as filing, emailing, typing, faxing, and copying. Follow all company safety and security policies, reporting accidents and unsafe conditions. Maintain confidentiality of proprietary information and protect company assets. Anticipate and address owner service needs. Develop and maintain positive working relationships, supporting team goals and responding appropriately to employee concerns. Ensure adherence to quality standards and identify opportunities to increase organizational efficiency, productivity, quality, safety, and cost savings. Enter and locate work-related information using computers. Move, lift, carry, push, pull, and place objects weighing less than or equal to 10 pounds without assistance. Perform other reasonable job duties as requested.

Critical Tasks

Closing Documentation
  • Review Trust Agreements and corporate documents to determine authorities for real estate transactions.
  • Audit executed real estate documentation (cash and financed) for correctness before closing.
  • Verify the accuracy of all new owner information.
  • Respond to internal and external requests regarding closing disbursement, check issuance, fund release affidavits, and report distribution.
  • Determine the validity of contract and closing documents within established guidelines.
Office Equipment Management
  • Transmit information via mail, scanner, or facsimile.
  • Operate standard office equipment including telephones, scanners, fax machines, photocopiers, and calculators.
  • Maintain office equipment in working order and arrange for service when needed.
  • Maintain office areas, coordinating housekeeping and maintenance services.
Computer and Software Proficiency
  • Use computer systems and software to input, access, modify, store, and output information.
  • Enter and retrieve data using a keyboard, mouse, or trackball.
  • Prepare documents using word processing, spreadsheet, database, and presentation software.
Communication Skills
  • Monitor and respond to inbound customer and client communications promptly via email and voicemail.
  • Speak clearly, appropriately, and professionally with customers and coworkers.
  • Prepare and review written documents, including proofreading and editing for accuracy and completeness.
  • Effectively exchange information through conversation and active listening with coworkers.
Teamwork and Collaboration
  • Support all coworkers with dignity and respect.
  • Handle sensitive employee and guest issues with tact, diplomacy, and confidentiality.
  • Partner with and assist others to foster teamwork and achieve common goals.
