Job Description

Manager, Administration - Corporate Services

Responsibilities:

Office Renovation & Relocation Project Management:

  • Lead end-to-end project management for office fit-outs, renovations, expansions, and relocations.
  • Develop project plans, budgets, and timelines.
  • Liaise with architects, contractors, vendors, and internal stakeholders.
  • Manage vendor selection, contracts ensuring projects are delivered on time, within scope, and on budget.
  • Minimize business disruption during project phases.

Office Administration & Facilities Management:

  • Oversee daily office operations ensuring a clean and professional work environment.
  • Manage relationships with service providers (cleaning, security, maintenance, catering).
  • Implement and improve office policies, procedures, and space management protocols.
  • Serve as the primary point of contact for employee office needs.

Staff Health, Safety & Wellness:

  • Champion the company’s health and safety program as the designated Safety Officer.
  • Conduct regular risk assessments, safety audits, and emergency drills.
  • Ensure compliance with all health & safety regulations (OSHA standards).
  • Manage first aid supplies, training, and promote employee wellness initiatives.

Procurement & Asset Management:

  • Oversee procurement, inventory, and lifecycle management of office supplies and equipment.
  • Develop and maintain vendor relationships ensuring cost-effectiveness and quality.
  • Implement sustainable and cost-efficient procurement practices.
  • Manage the corporate services budget, track expenditures, and report variances.

Team Leadership & Vendor Management:

  • Supervise vendor staff providing administration services to the office.
  • Foster a culture of service excellence and effective contract management.
  • Manage external vendor performance and handle ad-hoc tasks as assigned.

Requirements:

  • Bachelor’s degree in Business Administration, Facilities Management, Project Management or related field.
  • 5+ years progressive experience in corporate services or office administration.
  • Expertise in managing office renovation/relocation projects and vendor negotiations.
  • Strong knowledge of workplace health & safety regulations.
  • Excellent project management skills with ability to manage multiple priorities.
  • Proficient in MS Office Suite; knowledge of project/facility management software is a plus.
  • Fluency in both English and Chinese (Putonghua) required.
  • Frequent travel or permanent work in Lok Ma Chau Office required (Shuttle bus available).
