This position as a Remote Service Administrative Assistant is full-time and 100% work from home. Responsibilities
- Conduct intake calls to gather customer information.
- Schedule jobs via Google Calendar and the Jobber system.
- Procure materials through an established vendor network.
- Coordinate with property managers and the Service Manager.
- Review work orders for billing accuracy.
- Verify service team time cards for accurate labor tracking.
- Review vendor invoices and allocate costs to jobs.
- Coordinate daily assignments and routes for shop personnel.
- Monitor accounts receivable and follow-up on invoices.
- Handle repairs scheduling and tool orders with guidance.
- Follow up on service requests via email and manage customer complaints.
- Create plumbing service quotes and assist in job walks.
Qualifications and Key Competencies
- Strong organizational and multitasking skills.
- Experience with Google Calendar and Jobber system.
- Understanding of billing, work order management, and vendor invoice review.
- Proficiency in procurement and inventory management.
- Background in dispatching, service coordination, plumbing or construction is preferred.
- Excellent customer service and conflict resolution abilities.
- Attention to detail in documentation and financial tracking.
- Effective communication skills with property managers, vendors, and teams.
- Analytical skills for cost management and invoice tracking.
