This position as a Remote Service Administrative Assistant is full-time and 100% work from home. The role supports a reputable plumbing services company known for reliability, quality service, and fair pricing.

Responsibilities

  • Conduct intake calls to gather customer information.
  • Schedule jobs via Google Calendar and the Jobber system.
  • Procure materials through an established vendor network.
  • Coordinate with property managers and the Service Manager.
  • Review work orders for billing accuracy.
  • Verify service team time cards for accurate labor tracking.
  • Review vendor invoices and allocate costs to jobs.
  • Coordinate daily assignments and routes for shop personnel.
  • Monitor accounts receivable and follow-up on invoices.
  • Handle repairs scheduling and tool orders with guidance.
  • Follow up on service requests via email and manage customer complaints.
  • Create plumbing service quotes and assist in job walks.

Qualifications and Key Competencies

  • Strong organizational and multitasking skills.
  • Experience with Google Calendar and Jobber system.
  • Understanding of billing, work order management, and vendor invoice review.
  • Proficiency in procurement and inventory management.
  • Background in dispatching, service coordination, plumbing or construction is preferred.
  • Excellent customer service and conflict resolution abilities.
  • Attention to detail in documentation and financial tracking.
  • Effective communication skills with property managers, vendors, and teams.
  • Analytical skills for cost management and invoice tracking.
