Key Responsibilities: What You’ll Work On
Executive-Level Support
- Manage a dynamic and complex calendar, expertly scheduling across various time zones and adapting to shifting priorities.
- Prepare comprehensive meeting briefs, detailed agendas, and concise follow-up summaries.
- Diligent tracking of key action items, ensuring all commitments are met in a timely manner.
- Efficiently filter and prioritize communication to protect the founder’s critical focus.
High-Trust Task Ownership
- Handle highly sensitive information with the utmost discretion and professionalism.
- Provide essential support for communications with investors, partners, and senior stakeholders when required.
- Draft high-quality emails and documents, representing the founder effectively.
- Confidently coordinate efforts across both internal teams and external stakeholders.
Operations and Coordination
- Maintain impeccable organization across all digital systems, including documents, task managers, and internal tools.
- Implement structure around recurring processes and optimize executive workflows.
- Ensure no critical tasks or follow-ups are missed across multiple parallel workstreams.
- Proactively identify and flag potential risks, bottlenecks, or oversight issues.
Strategic Follow-Through
- Translate high-level strategic direction into clear, actionable next steps.
- Independently drive small to mid-sized initiatives to completion without requiring constant check-ins.
- Anticipate needs and proactively resolve problems before they escalate.
- Maintain strong visibility into evolving priorities and shifting focus areas.
What You Bring to the Team
- 3 to 6+ years of proven experience supporting founders, executives, or senior leadership.
- Background in tech, AI, or healthcare startups is highly valued.
- Demonstrated ability to thrive in startup or high-growth environments.
- Exceptional written and spoken English, with executive-level communication polish.
- High degree of discretion and comfort in handling confidential information.
- Expertise in managing complex schedules and balancing competing priorities.
- A calm, confident demeanor, particularly under pressure.
- Strong systems thinking and organizational skills across various digital tools.
Nice to Have
- Prior experience in a Chief of Staff-adjacent or senior Executive Assistant role.
- Exposure to investor communications or board-level coordination.
