About The Role

We are seeking a highly organized and proactive Executive Assistant, based in the Eastern Time Zone (EST), to provide comprehensive support to our Chief Medical Officer and SVP of Compounding Production, as well as their respective teams. This pivotal role ensures seamless daily operations, allowing leadership to focus on strategic priorities. The ideal candidate will be resourceful, meticulously detail-oriented, adaptable, and thrive within a fast-paced, collaborative environment.

Key Responsibilities

  • Provide high-level administrative support to senior leadership, ensuring seamless daily operations.
  • Manage complex calendars, including scheduling meetings across multiple time zones and proactively resolving scheduling conflicts.
  • Coordinate logistics for meetings and events, encompassing conference space booking, catering arrangements, material preparation, and attendee communication.
  • Partner cross-functionally to support larger internal or external events as required.
  • Arrange domestic and international travel, including flights, accommodations, and detailed itineraries.
  • Prepare and process expense reports in compliance with company policies.
  • Support onboarding activities by coordinating workspace setup, system access, supplies, and resources for new team members.
  • Maintain a high level of professionalism, discretion, and confidentiality when handling sensitive information.
  • Serve as a collaborative partner across teams, offering backup support and contributing to a positive, productive work environment.
  • Identify opportunities to improve administrative processes and implement more efficient systems.

Qualifications

  • 5+ years of experience in an executive or senior-level administrative support role.
  • Demonstrated experience managing complex calendars and coordinating travel arrangements.
  • Proficiency in Microsoft Office and Google Workspace (G Suite) tools.
  • Exceptional organizational skills with strong attention to detail.
  • Ability to prioritize multiple tasks and meet deadlines in a dynamic environment.
  • Strong written and verbal communication skills.
  • High level of integrity and ability to maintain confidentiality.
  • Self-motivated with the ability to work independently while collaborating effectively across teams.
  • Comfortable navigating organizational structures and building strong internal relationships.
  • Willingness to travel occasionally (approximately 10–15%) if needed.
