Mission
We are seeking a diligent professional to manage the entry and follow-up of quotes for a client portfolio. This involves:
- Entering media campaign quotes.
- Coordinating client invoicing.
- Reconciling scanned invoices with purchase orders to validate supplier payments.
- Liaising with internal accounting departments, suppliers, and experts/traders.
- Producing and analyzing dashboards for client investment analysis.
- Ensuring strict adherence to client-specific procedures.
Responsibilities
Quote Entry
- Enter quotes for the entire client portfolio.
- Act as the interface with purchasing expert teams and finance/accounting departments.
- Utilize the quote management database.
- Extract statistics, track client investments, and prepare client reports.
Invoice Management
- Verify the correct receipt of supplier invoices (media owners) and track discrepancies.
- Format a status report of documents awaiting validation by department, ensuring consistency and communicating it to group leaders/expert hub managers.
- Send these reports to buyers to facilitate weekly meetings with summaries.
- Send these reports to media owners to request unreceived documents.
- Take all necessary measures to resolve discrepancies promptly (including modifying quotes if approved by an Expert or Expert Management Manager).
Coordination with Accounting and Media Owners
- Ensure the interface between purchasing experts and supplier accounting in the invoicing flow.
- Serve as the liaison with media owners for dispute resolution.
Client Specifics Management (Mandate/Non-Mandate, VAT)
Media space purchasing is highly regulated in France. Managing these purchases for our clients, both in France and internationally, involves two distinct management types that require exceptional attention and vigilance.
Internal Control on:
- Quote updates.
- Client invoicing.
- Coordination with client recovery and follow-ups.
Education, Skills, and Aptitudes
- Associate's or Bachelor's degree (Bac+2 / Bac+3).
- Organized, methodical, and rigorous.
- Autonomous.
- Professional written and spoken English required.
- Proficiency in Excel.
- Ability to quickly adapt to new IT tools.
- Good interpersonal skills (suppliers + internal teams).
- Scrupulous adherence to established procedures.
