About the Role
The Department of Neurobiology at Harvard Medical School seeks a highly organized Administrative Coordinator to support human resources operations. This role is vital for managing personnel processes for academic staff, students, and contingent workers and ensuring compliance with university policies. Reporting to the Associate Director of Research Administration and Finance, you will liaise between faculty, departmental administration, Harvard central offices, and external partners like the Harvard International Office.
- Manage personnel systems and appointment processes.
- Coordinate visa and onboarding procedures.
- Assist with payroll and compliance activities.
- Provide liaison support between various departments.
- Participate in workflow and process improvement initiatives.
Qualifications
Bachelor’s degree or equivalent work experience, with a minimum of 2 years’ relevant HR experience (preferably in an academic or research environment) and 4 or more years of professional experience. Familiarity with hiring and appointment processes in academic research, proficiency in Microsoft Office, and HR systems like Apex, ARiES, Peoplesoft, Harvard Careers, and YPO are required. Understanding Federal and State employment regulations is essential.
Responsibilities
Support all aspects of personnel management including hiring, onboarding, appointment processing, and position maintenance. Coordinate visa initiation and renewal processes and act as the primary resource for lab personnel appointment policies. Assist with payroll, maintain HR databases, participate in process improvements, and support faculty and staff with inquiries.
