Original Job Summary
About the Role
The Administration Officer works within the Mission and Mission in Action at HammondCare to provide high-level administrative support to ensure hospital functionality. This fixed term full-time role is based at Greenwich Hospital and will temporarily relocate to the Macquarie Hospital site during the Greenwich Hospital redevelopment from March 2026.
Key Responsibilities
- Follow up and maintain current referral information
- Plan and coordinate appointments for clinicians and book patients using eMR check-in/out
- Enter all patient appointments into eMR efficiently
- Notify and confirm patient appointments via email, SMS, letter, and phone
- Support clients/carers prior to telehealth appointments
- Liaise with LHD/external interpreter services and coordinate appointment bookings
- Provide accurate patient information and update medical records
- Train new or relief staff on administration processes
- Offer office support services including photocopying and scanning/faxing
- Support reception cover and respond to enquiries
- Maintain referral details in the case conferencing database
- Prepare weekly patient lists and GP discharge letters for case conference
About You
The ideal candidate is experienced in providing high-level administrative and organisational support in a healthcare setting with strong problem-solving, prioritisation, and communication skills. Experience with Microsoft Office, Health Information Systems, and understanding of medical terminology are desirable. You should be capable of working autonomously in a flexible, multi-skilled team environment with a commitment to multicultural sensitivity. A current driver's licence and safe driving record are required.
