Position Summary

Guggenheim Investments is hiring administrative support for our Santa Monica office. The Office Administration Assistant manages conference rooms, guest seating, office supply, visitor security, employee ID badges, pantry management, event support, premises assistance, and provides support to senior leadership as needed.

Responsibilities

  • Support internal and external meetings with guest registration, catering setup, and material preparation.
  • Assist with event planning and onsite/offsite event support.
  • Manage security badges, parking, office meal program, and staff inquiries.
  • Coordinate with HR, IT, and Office Administration Manager for moves, hires, and terminations.
  • Oversee facility maintenance and report issues promptly.
  • Provide high-level administrative support to business leads including copying, scanning, faxing, drafting correspondence, and travel arrangements.
  • Coordinate with building management and schedule vendor work.
  • Manage office pantry including stock and maintenance of snacks and beverages.
  • Ensure the reception, conference, breakout, and common areas are well-maintained.
  • Assist with facilities projects and respond to urgent issues such as power outages or HVAC problems.

Qualifications

Basic Qualifications: Bachelor’s degree, proficiency in Microsoft Office (Outlook, PowerPoint), and the ability to work in-office 5 days per week.

Preferred Qualifications: Effective communication skills, attention to detail, ability to work in a deadline-driven environment, availability for overtime and weekends, and the physical capability to perform tasks like lifting and furniture moving.

Salary Information

Annual base salary starting at 70,000. Actual compensation may vary based on experience and location.
