About The Role
Legal is seeking a highly motivated Legal Administrative Assistant. This role provides essential support to teams comprising Managing Directors, VPs, and Associates. Previous experience in supporting senior executives and managing complex calendars is a must, along with the ability to work effectively under pressure in a busy and dynamic environment.
Job Summary & Responsibilities
As a Legal Administrative Assistant, you will be responsible for a wide range of administrative and legal-specific tasks:
- Provide general administrative support, including covering phones, maintaining files, distributing mail, scheduling meetings, and coordinating travel arrangements.
- Offer comprehensive administrative support within a complex team environment to a group of VPs and Managing Directors.
- Coordinate senior-level internal and external meetings and conference calls for the team.
- Maintain detailed calendars and manage related logistics for team members.
- Handle a high volume of phone calls and interact professionally and effectively with senior-level business leaders.
- Prepare and process travel and expense reports in a timely and accurate manner.
- Create slide decks and various reports relevant to the operations of our Legal teams in Dallas and Richardson.
- Perform additional tasks such as preparing correspondence and other communications, organizing files, and archiving documents.
- Handle several legal-specific administrative duties, including managing legal engagements, creating legal matters, and processing outside counsel invoices.
- Assist attorneys with the creation of recurring legal documents and contracts.
- Support COO team members with various divisional programs and initiatives, such as the summer intern program, committee activities, and social networking events.
- Maintain an understanding of firm policies and learn to utilize key tools and applications, including expense, document management, and vendor management systems.
- Arrange internal and client meetings, which includes booking conference rooms, registering guests, and ensuring materials are organized.
- Create professional documents, including PowerPoint presentations and Excel spreadsheets.
- Act as the main point of contact for administrative queries within the department.
- Assist with catering requests as needed to support internal and external department meetings.
Necessary Qualifications
To be successful in this role, candidates should possess the following qualifications:
- Minimum of 2+ years of experience as an Administrative Assistant in a law firm, accounting firm, consulting firm, banking, or corporate environment.
- Excellent interpersonal and communication skills.
- Highly organized, efficient, detail-oriented, and motivated individual.
- Ability to solve problems quickly and efficiently.
- Knowledge of general business, corporate, and government cultures.
- Comfortable working with people at all organizational levels.
- Maintains a positive attitude and possesses the ability to prioritize and remain flexible as priorities change.
- Must have excellent judgment; be an independent thinker and resourceful.
- Team player with a positive attitude.
- Highest degree of integrity, professionalism, diplomacy, and discretion required.
- Strong proficiency in MS Word, Excel, PowerPoint, and Outlook.
Skills / Experience

- Previous experience in a relevant role, such as an assistant supporting senior management/managing director level, preferably within the financial services or legal industry.
- Extensive working knowledge of Microsoft Office, including Outlook, PowerPoint, and Excel skills.
