Executive Assistant Operations Manager
Our client, a growing family-owned residential and commercial cleaning company serving Greenville, South Carolina, is seeking an Executive Assistant Operations Manager. This pivotal remote role, open to candidates across LATAM, is designed for an operations-minded leader eager to build structure, create capacity, and scale a service business sustainably. With a strong reputation and steady referral-based growth, the business is poised for its next phase, and this position offers a high-impact opportunity to strengthen its foundation and increase efficiency.
This role goes beyond administrative tasks, requiring a true operations manager with a strong service-based business background, preferably within the home service industry (e.g., cleaning, HVAC, plumbing, landscaping). Experience in fast-moving, field-service environments is highly valued.
Key Responsibilities
- Customer Communication & Lead Management
- Respond to new leads and existing client emails (approx. 40/week).
- Handle 5–10 inbound calls weekly.
- Prepare and send estimates using standardized templates.
- Manage scheduling updates and service changes.
- Implement and maintain a CRM system to prevent lost opportunities.
- Administrative & Operational Support
- Manage scheduling in Google Calendar.
- Oversee Easy Clocker time tracking.
- Support QuickBooks billing and invoicing.
- Coordinate with offshore billing team for reconciliation.
- Maintain internal team communication (WhatsApp).
- Develop and document Standard Operating Procedures (SOPs).
- Operations Leadership
- Monitor Key Performance Indicators (KPIs) and operational metrics.
- Identify inefficiencies and implement scalable solutions.
- Integrate systems to improve visibility and accountability.
- Manage day-to-day operational issues (schedule changes, field disruptions).
- Organize workflow using structured project management tools.
What We’re Looking For
- 3–5+ years of experience in operations or administration within a service-based business.
- Home service industry experience strongly preferred.
- Strong English communication skills (written and verbal).
- Highly organized and process-driven.
- Proficient with Google Suite.
- Comfortable implementing CRM and workflow systems.
- Proactive problem-solver who thinks in terms of scalability.
- Independent, accountable, and calm under pressure.
Bonus if you have:
- CRM experience (HubSpot, Pipedrive, etc.).
- QuickBooks familiarity.
- Experience supporting field teams.
- Bilingual English/Spanish (helpful for internal coordination).
