Accounting Specialist - Job Description

The Accounting Specialist is responsible for maintaining vendor records, processing accounts payable/receivable and expense transactions. The role also involves assisting with administering the collection process and supporting council-wide initiatives.

Key Responsibilities

  • Maintain accurate files for council purchasing transactions.
  • Review invoices, credit card charges, and expense reimbursement requests for proper documentation, coding, and approvals.
  • Record accounts payable liabilities and apply discounts and credit memos in the system.
  • Select and issue payments including approvals, mailing bank checks, and electronic submissions.
  • Reconcile general ledger, credit card, and vendor accounts.
  • Assist with regulatory filings such as PA Sales Tax and Forms 1099.
  • Improve and streamline accounting and business processes.
  • Coordinate Certificate of Insurance requests for Girl Scout activities.
  • Prepare daily deposits and code receipts accurately.
  • Perform month-end closing, including journal entries and account analysis.
  • Reconcile donation related income with Fund Development staff.
  • Provide professional customer service to donors, members, volunteers, staff, and community contacts.
  • Represent Girl Scouts in the Heart of PA in a positive and professional manner.
  • Perform other duties as assigned to support council-wide and cross-functional initiatives.

Requirements

  • Associate’s degree in Accounting or related field, or 3 years experience in accounts payable.
  • Proficient in MS Office, Adobe Acrobat, and virtual meeting platforms.
  • Experience with non-profit fund accounting software preferred.
  • Strong written, verbal communication, mathematical, and analytical skills.
  • Valid driver's license and reliable transportation required.
  • Must pass and maintain required background clearances.
  • Able to work with individuals of diverse backgrounds and ages.
  • Ability to sit, stand, or walk for moderate periods.
