Job Summary for Admin Manager
This role supervises and coordinates administrative services within a campus unit. It focuses on supporting the Executive Director through managing schedules, communications with senior leadership, strategic meeting preparation, financial and administrative processes, and event planning.
Responsibilities
- Develop and implement administrative processes consistent with Institute policies.
- Supervise and ensure accuracy of unit financial records.
- Manage calendars and coordinate meetings with senior leadership and external stakeholders.
- Prepare briefing materials, presentations, agendas, and document meeting minutes.
- Coordinate purchasing activities including procurement and vendor communication.
- Support planning and execution of special events and travel arrangements.
- Perform additional duties as assigned.
Educational and Experience Requirements
A Bachelor's Degree in Business Administration or related field, or equivalent education and experience; with four to five years of relevant job experience.
Skills and Qualifications
- Knowledge of administrative processes and records management.
- Strong organizational and communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Expertise in event planning and office management.
- Experience working with confidential information.
Additional Information
This role includes financial responsibilities, requires a purchasing card (P-Card), and does not involve travel or supervisory functions. A background check including a position of trust and P-card review is required.
