Job Summary

The Program Assistant will coordinate and monitor undergraduate and graduate admission evaluation forms and applicant files, providing information to the Admission committee. This role involves monitoring applicant file status in the PeopleSoft system and serving as a resource for students regarding admission requirements and university policies. The Program Assistant will also assist with CSWE credentialing documentation and provide program and accreditation assistance to the school director for undergraduate, graduate, and PhD programs.

Key Responsibilities

  • Create new student files for applicants using query reports and admissions forms.
  • Update the admissions committee on applicant status for admission decisions.
  • Follow up with applicants to obtain missing documents.
  • Prepare and secure signatures for admission letters.
  • Operate PeopleSoft systems for student information and records management.
  • Serve as a liaison with the University Admissions office, Coordinator of Student Services, and Directors.
  • Maintain student records, including filing and retrieval.
  • Assist students in BSSW, MSW, and PhD in Social Welfare programs with admission and policy inquiries.
  • Participate in new student orientation sessions and provide registration information.
  • Prepare and verify graduation certifications, ensuring all necessary signatures are obtained.
  • Process and file class rolls, assisting with SACS credentialing documentation.
  • Provide program and accreditation assistance to program directors.
  • Offer backup support to the Office Manager for course scheduling and SOW administration.
  • Liaise with the Dean's Office for graduate assistantship contracts and scholarships.

Minimum Qualifications

  • High school diploma or GED.
  • Five (5) years of office or related experience providing administrative support or coordinating department functions.
