Purpose Of Position

Accountable for delivering a wide variety of project and administrative services including but not limited to correspondence preparation, preparation of presentations or briefing notes, as well as supporting the Policy department with a range of programs.

Key Responsibilities

  • Provides project and administrative services and support to the Policy Executive Vice President’s Office and the Policy department in the delivery of a range of projects and programs.
  • Drafts, edits and/or assists with correspondence, briefing notes, presentations, and spreadsheets on own initiative or according to general instructions.
  • Provides FOI Coordination support to the Policy department.
  • Regularly corresponds and coordinates meetings and materials with the Ministry of Finance.
  • Updates project databases and maintains a comprehensive and up-to-date internal library of project documentation and artifacts (paper and electronic).
  • Maintains project websites, i.e., updates content, ensures materials are uploaded onto site, contacts technical support, when necessary.
  • Maintains a centralized records management system for the EVP Office and workback plans.
  • Identifies the need for and recommends the modification of various administrative systems, processes, and procedures to support business and project needs to enhance operational efficiencies.

Qualifications

Education And Experience

  • High school graduation plus post-secondary diploma or training in administrative services.
  • 3–4 years’ experience in providing a range of program and project administration and clerical services and support.

Knowledge And Skills

  • Knowledge of administrative practices and general office administrative protocols.
  • Knowledge of records management procedures and processes and the ability to apply records retention and disposition schedules and classify records.
  • Writing, proof reading, and editing skills.
  • Strong organizational skills and the ability to work with minimal supervision; to be self-directed, to take initiative without direction, and to use time efficiently by effectively prioritizing work.
  • Ability to tactfully communicate with various levels of the organization to request or provide information.
  • Strong attention to detail, organization and time-management skills and the ability to stay on task in a fast-paced environment with the ability to take immediate, effective action in high-pressure situations.
  • Proficient with Microsoft Office (Word, Excel, PowerPoint, SharePoint, Teams) and other internal applications, as required.

Compensation

Compensation Grade: Grade 02-AMAPCEO

Compensation Range: $58,996.00 - $80,232.00

Bargaining Unit: AMAPCEO

Employment Type: Regular

Scheduled Weekly Hours: 36.25
