Role Description Summary
This position provides collaboration, communications, and support to our organization and our clients on a regular basis. In this role, established processes/procedures must be followed with an understanding of the process workflow in order to recognize and resolve problems or discrepancies. Professional communications, time management, organizational skills, ability to prioritize tasks, meet deadlines, and switch gears quickly are necessary skills to fulfill the needs of this position. This is a full-time, onsite or remote position.
Essential Functions
- Manage incoming emails and client calls relating to plan compliance issues
- Track and monitor service provider deliverables and deadlines related to plan compliance
- Gather requested documents for plan audits and IRS/DoL examinations
- Coordinate and support external auditors and examinations
- Prepare year-end report packages for clients
- Review the administration work, compliance testing, etc., completed by service providers
- Review Government filings before filing, including 5500s, 5330s, 5558s, etc.
- Monitor and assist with oversight of annual projects
- Prepare employer contribution illustrations, including match, profit sharing, and top-heavy minimums
- Monitor client/service provider corrections related to plan compliance
- Complete workflow tasks as assigned, monitor work-trays for shared tasks, and assist with completion
- Provide administrative support and escalate potential concerns to the Chief Compliance Officer
- Special projects, as assigned, work independently and/or with a team on special non-recurring and ongoing projects
- Provide support to other team members and look for opportunities for improvement
- Perform other duties and tasks, as assigned
Core Competencies

- Excellent analytical capabilities with great attention to detail, with solid math/accounting skills
- Experienced with Microsoft Office Suite tools (including Word, Excel, Outlook, SharePoint, Teams, and database applications)
- Exceptional problem-solving, analytical, organizational, and communication skills (written and verbal)
- Capable of following organizational processes/systems, understands process workflows, with the ability to recognize and resolve problems or discrepancies
- Ability to manage multiple projects from start to finish, with acute attention to detail
- Possess strong project and time management skills
Required Experience
- 5+ years of experience in 401(k) plan administration
- With a focus on plan compliance
- With a focus on concierge client service and executive support
- Comprehensive understanding of ERISA, IRC, IRS, and DoL regulations
- Experience with plan compliance testing, plan operations, trust reconciliations, and government filings
- Must have the ability to read/interpret plan documents
Preferred Experience
- Experience with multiple employer plans and pooled employer plans
- ASPPA designations, CEBS, or similar credentials
