Overview
Reporting jointly to the legal professionals in the share and the Manager, Legal Assistant Services in our Toronto office, the successful candidate will independently manage the daily activities of a team of legal professionals in the Labour, Employment and Human Rights department. Hours are from 9:00 a.m. to 5:00 p.m. ET with occasional pre-authorized overtime. This is a hybrid role requiring three days in the office.

Primary Responsibilities
- Provide high-level support to legal professionals in Labour, Employment and Human Rights practices.
- Draft, proofread, serve and file legal documents with various Ontario legal bodies.
- Manage new matters, conflict checks, and maintain accurate records in firm systems.
- Manage multiple calendars and track deadlines for meetings, hearings, court appearances, and mediations.
- Monitor limitation periods and statutory deadlines ensuring timely submissions.
- Maintain and organize confidential client files (digital and physical).
- Communicate professionally with clients, counsel, and external parties.
- Review, prepare, and quality-check legal documents for accuracy.
- Support billing and time entry processes and track complex billing requirements.
- Utilize legal software for case management, e-discovery, and document automation.
- Draft routine correspondence for lawyer review and coordinate with external service providers.
- Prepare materials for hearings, mediations and client meetings.
- Collaborate effectively within the team to meet deadlines and adapt to shifting priorities.
- Ensure compliance with legal standards and ethical guidelines.
- Perform additional administrative tasks to support firm operations.
Required Knowledge And Experience
- Post-secondary education in Office Administration (Legal) or Law Clerk program, or related field.
- Minimum 3 years of experience in Labour and Employment Law.
- Experience with Ontario court processes and strong knowledge of HRTO rules.
- Proficiency in legal software and Microsoft Office Suite.
- Understanding of key business cycles and procedures.
Compensation
Pay range is $55,000 to $75,000 per annum. Pay will be commensurate with experience.
