Position Description

The Assistant Project Coordinator will support the Executive Team including the SVP/Chief Administrative Services Officer and the AVP, Senior Project Coordinator. This role involves managing multiple projects, coordinating office buildouts, vendor negotiations, event planning, and maintaining high confidentiality in various administrative tasks.

Detailed Duties and Responsibilities

  • Project Coordination: Assist with new office buildouts, planning, vendor negotiations, and event coordination.
  • Maintenance/Facilities: Serve as backup for facilities tasks, manage maintenance requests, and coordinate vendor services.
  • Administrative Support: Organize meetings, draft correspondence, prepare supporting materials and manage travel arrangements.

Requirements

  • Strong written and verbal communication skills.
  • Excellent organizational and time management skills.
  • Proficient in Microsoft Office (Excel, Word, PowerPoint).
  • Ability to work independently and maintain confidentiality.
  • High School Diploma or equivalent; Associate's degree preferred.
  • 3 years of prior experience in executive administrative support and project management is preferred.
  • Must have own transportation.
