Job Opening: Head of Payroll and HR Administration F/H
The European Society of Cardiology is seeking a Head of Payroll and HR Administration F/H. This is a permanent, full-time position based at the European Society of Cardiology headquarters in Sophia-Antipolis, France.
Position Overview
Reporting to the Director of Human Resources, and as part of a team of 5 people (including the HR Director), you will be responsible for implementing and overseeing payroll and personnel administration. You will manage one team member.
Your scope of responsibilities covers two sites: Sophia-Antipolis (230 employees) and Brussels (fewer than 20 employees).
Key Responsibilities:
- Ensure rigorous personnel administration that complies with legal and conventional obligations for all ESC entities. You will be responsible for the reliability of HR and payroll processes, focusing on optimization, digitalization, and data quality.
Detailed Responsibilities:
- Rigorous Personnel Administration:
- Manage and/or oversee payroll and control social declarations.
- Prepare payroll elements necessary for accounting closure.
- Manage employment contracts, amendments, absences, working hours, mutual insurance/provident schemes, employee savings plans, and social benefits.
- Conduct DARES surveys and the Professional Equality Index.
- Pilot and Improve HR Processes:
- Administer and develop the HRIS to ensure data reliability and process efficiency.
- Optimize personnel administration and payroll tools and procedures (digitalization, automation).
- Control and analyze HR data (reporting, payroll mass).
- Monitor and optimize costs related to payroll, social contributions, and social benefits.
- Participate in continuous improvement projects and the modernization of HR practices.
- Contribute to Social Dialogue:
- Prepare and co-chair meetings with social partners (CSE, trade union representatives).
- Manage and update the BDESE (Economic and Social Database).
- Contribute to the drafting and implementation of collective agreements.
- Maintain constructive and high-quality social dialogue.
- Legal Watch and HR Consulting:
- Ensure compliance with the Labor Code, the collective agreement, and company agreements.
- Maintain constant vigilance on legal obligations related to payroll and personnel administration.
- Respond to employee and management requests with pedagogy and reliability.
Candidate Profile:
- A graduate degree (Master 2 or equivalent) in general HR.
- At least 5 years of successful experience as a Head of Personnel Administration and Payroll, preferably in international environments.
- Strong knowledge of social law; knowledge of the Syntec collective agreement is a plus.
- Meticulous and organized, with perfect command of IT tools and HRIS (maintenance and development).
- Experience with ADP payroll software is ideal.
- Fluent in written and spoken English.
- Proven problem-solving skills and ability to track ongoing cases.
- Analytical mindset with the ability to propose innovative and pragmatic solutions.
- Excellent interpersonal and listening skills.
