Overview

The Commercial Service Project Coordinator at Encon Heating & AC is key to ensuring success in the Commercial Service Department. This role involves managing estimating, material procurement, and execution for service jobs, ensuring projects are completed on time and within budget.

Job Responsibilities

Estimating & Job Planning (Approx. 70%):

  • Prepare repair and replacement estimates for HVAC, plumbing, and mechanical service jobs.
  • Review technician notes, photos, and site conditions to scope jobs.
  • Collaborate with account managers and service leaders on estimate strategy.
  • Ensure labor, materials, and subcontractor costs are factored into quotes.
  • Monitor estimate pipeline and support sales follow-up.
  • Contribute to standardizing pricing templates and markup structures.

Procurement & Job Coordination (Approx. 20%):

  • Source and order materials, parts, and subcontracted services for approved jobs.
  • Verify material availability and coordinate deliveries to meet timelines.
  • Collaborate with warehouse and field staff for proper staging of materials.
  • Track vendor performance and resolve discrepancies in orders or claims.
  • Maintain vendor relationships and negotiate pricing when needed.
  • Ensure all information is attached to quotes so others can support the process.

Process Improvement & Support (Approx. 10%):

  • Support development of efficient quoting and purchasing workflows.
  • Collaborate with leadership to refine procedures for speed, accuracy, and cost control.
  • Identify gaps in field documentation and technician quoting practices.
  • Assist in onboarding and training new staff.

Requirements

The ideal candidate will have over 5 years of experience in commercial HVAC, plumbing, or mechanical service work with expertise in estimating and purchasing. They must excel at managing multiple service projects simultaneously with strong communication and organizational skills. Proficiency in field service and estimating software like ServiceTitan, FieldEdge, or Procore is required along with strong Excel capabilities.
