Job Summary: Administrative Assistant, School of Medicine, Rheumatology

Administrative Assistants provide comprehensive administrative support for general management, research environments, or specific programs, ensuring all office activities comply with Emory policies and procedures.

Key Responsibilities

  • Provides administrative support for general management, research, or specific programs.
  • Ensures all office activities comply with Emory policies and procedures.
  • Responds efficiently to all incoming telephone calls.
  • Maintains calendars and prioritizes meeting requests for management.
  • Reviews incoming correspondence, identifies key items for management, and handles routine replies.
  • May complete forms, grant applications, and associated program correspondence.
  • Prepares professional charts and graphs for reports and presentations.
  • Creates and edits scientific, programmatic, or other departmental reports.
  • Schedules and manages logistics for meetings and special events.
  • Prepares all necessary materials for meetings and special events.
  • Initiates, processes, and maintains accurate records and invoices.
  • Keeps management informed of account status, identifies cost-effective solutions, and may authorize expenditures.
  • May monitor or maintain budgets and grants, assist with budget development, and prepare expense reports and reimbursements.
  • Plans and coordinates comprehensive travel arrangements.
  • Maintains databases and spreadsheets, potentially analyzing data and designing associated reports.
  • Establishes and organizes efficient file and document systems.
  • Oversees ordering and maintenance of all office supplies.
  • May supervise or direct the work of other support staff and/or students.
  • Performs other related responsibilities as required.

Minimum Qualifications

  • Bachelor's degree or the equivalency of a high school diploma and five years of administrative experience.
  • Proficiency with Microsoft Office, including Outlook, PowerPoint, and Excel.
  • Experience with collaboration tools such as OneDrive, Zoom, and Teams.
