We are seeking an enthusiastic and highly detailed Administrator for our key role of Inflight Planning & Records Coordinator, based at our Sydney Airport office on a full-time Fixed Term contract basis (12 - 24 months).

More About This Role

The Inflight Planning & Records Coordinator is responsible for ensuring that all of our customer Airline's documentation are delivered accurately as specified per requirements and designated timeframes. Supporting our Inflight Planning & Records Manager, the focus of the role will be to navigate and retrieve various information from different airline information systems and portals to be distributed as and when needed.

In a Nutshell, Your Main Responsibilities

  • Developing, controlling and maintaining check sheets for kitchen and operational use
  • Ensuring all inflight planning documents are in accordance with internal menu specifications and Airline Galley Loading Plans/diagrams (GLP).
  • Accurately maintain a version log for all inflight planning documents on dnata servers
  • Ensuring all inflight planning documentation accurately reflects airline and company requirements and is available on time to all respective stakeholders
  • Responding to all queries, updates and changes to menu specifications or galley loading changes as operationally required
  • Navigating and retrieving information from different airline information systems/portals (e.g. Emirates 'Cat360' and Cathay Pacific 'Catering Planner') in conjunction with the respective Customer Service Manager (CSMs).
  • Effectively disseminating information and updating all relevant stakeholders
  • Liaising with customer service managers and other internal stakeholders
  • Work closely and assist CSM’s to identify opportunities for process improvement.
  • Maintain source documents for end station use.
  • Strive to improve and develop documentation retrieval and ease of usage

What do you need to be successful in securing this role?

  • Demonstrated success in a similar high level, high volume administrative function
  • Exposure to Manufacturing, Warehousing, Logistics or Food Distribution industries
  • Knowledge of the Airline or Catering industry very desirable.
  • Advanced usage or understanding of Excel spreadsheets or Access database.
  • Excellent written and verbal communications skills.
  • Work under pressure to meet strict deadlines.
  • Strong problem solving skills.
  • Competent in documentation systems and records management.
