About The Branch
The Commercial, Property and Technology (CP&T) Branch assists government clients to conduct significant transactions and projects, manage their corporate affairs and acquire, manage or dispose of land, goods or services. The branch offers specialist services in IP/IT, property and Native Title. It offers deep commercial expertise with a government perspective.
About The Role
We are seeking a proactive Legal Assistant or Senior Legal Assistant looking to grow their legal support experience in a government legal practice. As part of the legal support team, you will provide comprehensive legal and administrative support to a team of solicitors and conveyancers across a variety of different commercial matters. Each day can bring something different and varied, extending from providing support to lawyers, to working with conveyancers on major government transactions, to collating court documents. This role will provide you with the opportunity build a long-term career within the VGSO, with great training and development opportunities.
Responsibilities Will Include
- Producing quality legal documents, ranging from routine correspondence and court documents to more complex formatting of large contracts accurately in accordance with VGSO styles
- Managing the monthly billing process of multiple solicitors and conveyancers
- Obtaining relevant property searches, including title searches, property certificates and company searches
- File management – maintaining orderly, up to date legal files in electronic and hard copy format
- Diary and email management – monitoring emails, calendars and coordinating meetings
- Looking for ways to reduce the administrative workload of your solicitors
Skills And Experience
Legal Assistant (VPS 2)
The ideal candidate will bring previous administrative experience, preferably within a legal or professional services environment and demonstrate:
- Intermediate skills using Microsoft Office suite and Adobe Acrobat
- Experience preparing and formatting large documents, including dealing with formatting/corruption issues
- A high level of attention to detail and organisation, with the ability to manage competing priorities in a deadline-driven environment
- A proactive and reliable approach to supporting multiple stakeholders
- Knowledge of legal terminology and an ability to conduct title, company and property searches (experience with InfoTrack and Landata is desirable)
- Sound problem-solving skills and the ability to work both collaboratively and with a level of autonomy
Senior Legal Assistant (VPS 3)
The ideal candidate will have 5+ years prior experience working in legal administration and are recognised for taking ownership, driving outcomes and elevating how work gets done. At this level, you will have opportunities to step into the Branch Practice & Legal Support Team Leader (VPS 4) role as needs arise, offering a pathway to develop leadership capability and gain hands on experience to support your career development. In addition to the skills and experience of a Legal Assistant, within this role you will bring:
- Well-developed stakeholder management skills with the ability to anticipate needs, and manage workflows with minimal direction
- Strong judgement and problem-solving skills, with the confidence to make decisions and navigate competing demands
- A proactive approach to improving processes and identifying more efficient ways of working both at team and broader levels
- The ability to mentor and train others, contributing to capability development within the team
