This assistant role provides comprehensive administrative, technical, and organizational support to the Human Resources Department.
Essential Duties and Responsibilities
- Provide general administrative, technical, and organizational support to the Human Resources Department, including the Chief, Directors, and Managers.
- Process and track employment verification requests, monitor the ticketing queue, and ensure timely handling of requests.
- Answer HR hotline calls professionally, take accurate messages, and direct inquiries or follow up as necessary. Greet and direct guests to the HR suite.
- Review department correspondence and distribute according to guidelines. Update and maintain the HR Support wiki.
- Coordinate gift card ordering, processing, and tracking. Assist with temporary housing logistics for lawyer relocations and updating HR intranet pages.
- Prepare expense reports, process invoices, run reports, and schedule meetings as needed.
- Conduct periodic audits, and create, format, draft, and edit documents. Copy and scan documents as required.
- Conduct research, analyze data, and prepare charts, graphs, and other visuals upon request.
- Manage HR filing and inventory of personnel files. Ensure all office equipment in the HR suite is operational and report issues.
- Order office supplies for the department and keep common areas stocked and tidy.
- Assist with basic Workday tasks and ad hoc/seasonal projects.
- Perform other duties as requested for the successful operation of the department.
