Your role is to provide exactly that: fully operational school facilities, delivered on time and within budget, spanning a growing portfolio of micro schools, growth campuses, and flagship vertical campuses in major metropolitan areas.

Timelines are consistently tight. Transition from building handover to launch day within weeks rather than months. This requires you to sequence contractor tasks, monitor dependencies on a daily basis, and leverage AI to preempt every outstanding issue before it causes a setback. Following a campus launch, you pass the site to the permanent operations team and proceed to the next deployment.

You'll begin with micro-campus deployments — the highest-velocity, most standardized projects in the portfolio. As the network scales to incorporate growth and flagship campuses, the breadth and intricacy of your work will expand accordingly.

What You Will Be Doing

  • Overseeing the complete buildout for each campus assignment: coordinating FF&E (Furniture, Fixtures & Equipment) procurement and installation, interior work, IT infrastructure, signage, and playspace from building handover to launch day
  • Executing a compressed delivery timeline against a fixed opening date: sequencing contractor workflows, managing interdependencies, and accelerating progress wherever the schedule demands
  • Coordinating and receiving vendor deliverables: submitting scopes of work, overseeing on-site execution, inspecting against specifications, and formally refusing substandard performance
  • Applying AI tools to generate vendor scopes, produce punch lists, monitor open items, and assemble handoff documentation — the velocity of this role requires this approach
  • Implementing standardized site deployment frameworks, confirming completion readiness, capturing structured feedback, and organizing the transition to the ongoing operations team

What You Won’t Be Doing

  • Overseeing steady-state facility operations once a campus is live: you transfer responsibility to the permanent ops team and advance to the next project
  • Executing hands-on trade or installation tasks: your function is to direct, inspect, and accept — not to perform physical installation or technical work
  • Handling real estate acquisition, permitting, or certificate of occupancy processes: when the building is assigned to you, those steps are already complete
  • Operating on a single project at a leisurely pace: micro-campus deployments proceed rapidly, with additional projects continuously entering the pipeline
  • Navigating ambiguous ownership or shared accountability: each buildout is assigned to one individual responsible from handover through opening day

Facilities Project Coordinator Key Responsibilities

  • Deliver fully operational campuses on time and on budget, from building handover through opening day.

Basic Requirements

  • At least 2 years in operations, facilities, or project delivery
  • Experience identifying and correcting a broken process, with quantifiable evidence of impact: cost reduction, time savings, or quality enhancement
  • Experience owning a multi-phase project end-to-end, from initiation through documented completion
  • Proven vendor management capabilities: enforce quality standards with contractors and challenge substandard work
  • Experience managing 2 or more concurrent projects or sites without loss of control or oversight
  • Consistent use of AI tools (ChatGPT, Claude, Copilot, or equivalent) to increase efficiency and maintain organization
  • Based in the US and authorized to work without visa sponsorship
  • Available to travel 60–80% of the time (3–4 days/week)

Nice-to-have Requirements

  • You've contributed to a physical buildout or site activation in any sector: retail, restaurants, healthcare, offices, or comparable environments
  • Background in construction project management, tenant improvement, commercial fit-out, or facilities management
  • Any direct exposure to FF&E, IT setup, signage, or commercial interior work, even in a coordinator or support capacity
  • You've utilized a project tracking tool (Wrike, Notion, Procore, Asana, Monday.com, or similar) to manage tasks or schedules

Working with us

This is a full-time (40 hours per week), long-term position. The position is immediately available and requires entering into an independent contractor agreement with Crossover as a Contractor of Record. The compensation level for this role is $50 USD/hour, which equates to $100,000 USD/year assuming 40 hours per week and 50 weeks per year. The payment period is weekly.
