Overview

The Assistant Project Manager, Global Operations and Construction will provide crucial support to the Manager of Global Operations in London. This role involves assisting with the coordination of construction, renovation, and operational projects across CAA's international offices. The successful candidate will be instrumental in maintaining project organization, facilitating communication, and providing execution support across multiple time zones and diverse teams. We are seeking a detail-oriented, resourceful individual who thrives in a fast-paced, collaborative environment.

Responsibilities

  • Assist with creating project plans and schedules, tracking progress, and managing the day-to-day operational aspects of multiple projects.
  • Act as a liaison between the project manager, consultants, subcontractors, and internal teams to ensure seamless collaboration.
  • Maintain accurate project documentation, trackers, and files; prepare presentations and reports; assist with progress updates and budget summaries; and support data organization across SharePoint and internal systems.
  • Assist in managing project budgets, budget reconciliation, tracking costs, and identifying potential financial issues.
  • Liaise effectively between the LA office and the London-based Global Operations team, streamlining communication and ensuring follow-ups are diligently tracked.
  • Help with risk mitigation, ensure compliance with company policies, and monitor quality control processes for all projects.
  • Coordinate with external partners and vendors on scheduling, deliverables, and essential document collection.
  • Help monitor facility needs, organize site visits, schedule meetings, and support day-to-day operational initiatives as assigned.
  • Provide administrative support, including calendar management for the Manager of Global Operations, scheduling meetings, taking and distributing minutes, organizing SharePoint, and managing consultant access.
  • Develop a strong understanding of the project lifecycle, including due diligence, briefing, design coordination, procurement, construction, and handover, to better support consultants and internal stakeholders.

Qualifications/Requirements

  • Degree or equivalent experience in Business, Project Management, or a related field.
  • Awareness of industry themes such as sustainability/ESG considerations and modern construction methods, with the ability to integrate this understanding into project coordination and reporting.
  • Experience in a project coordination or support role, ideally within construction, real estate, or operations.
  • Excellent organizational skills and meticulous attention to detail, capable of managing multiple priorities across different regions.
  • Strong written and verbal communication skills, complemented by a professional and polished demeanor.
  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) and familiarity with project tracking tools.
  • Exposure to formal project methodologies such as Agile, Waterfall, or Prince2.
  • Comfortable working independently while actively collaborating with global partners.
  • A proactive mindset coupled with strong problem-solving abilities and a commitment to follow-through.
  • Experience supporting construction, facilities, or real estate projects is preferred.
  • Familiarity with financial tracking and vendor management is preferred.
  • A keen interest in global operations and cross-functional teamwork.
