Events Assistant at Cravath, Swaine & Moore LLP

The Events Assistant plays a crucial role in supporting the planning and execution of various Firm events, catering to lawyers, clients, recruits, and staff. These events encompass a wide range, including receptions, luncheons, dinners, outings, client seminars, orientation events, client development initiatives, and social gatherings.

Job Responsibilities

  • Assists the Events team with the planning and execution of all in-person events, including site selection, contract negotiation, menu selection, invitation design, RSVP management, list management, onsite staffing, transportation, and post-event follow-up.
  • Ensures all event communications, templates, and correspondence strictly adhere to the Firm's established style, tone, and professional standards.
  • Supports the Events team in project managing larger events, covering aspects such as RSVPs, list management, seating plans, preparation of name badges and support materials, audio-visual coordination, onsite staffing, transportation, and follow-up.
  • Provides continuous support, including drafting event communications, organizing data, files, and materials, compiling information, preparing routine and ad-hoc reports, and responding to assistance requests.
  • Assists with event management software (Cvent) projects and updates, ensuring Cvent data completeness and accuracy. Runs necessary reports and aids in the design and implementation of new Cvent templates.
  • Conducts thorough research for site venues and vendors, establishes in-person connections, and diligently maintains comprehensive venue/vendor files and contact details.
  • Performs venue due diligence to guarantee all partners meet Cravath's stringent quality standards, evaluating service, space suitability, and pricing accuracy.
  • Assists the Events team with on-site event preparation, seamless execution, and accurate floor plan generation.
  • Generates essential event materials, including name tags and place cards.
  • Maintains precise attendance records for the Events department's reporting requirements.
  • Utilizes project management skills and tools effectively, such as timelines, budget worksheets, agendas, and event schedules.
  • Performs other duties as assigned to support the Events department.

Job Qualifications

  • Bachelor’s degree required.
  • Preferably 1 year of experience in a similar field, ideally assisting with corporate or professional events; professional services or legal industry experience is a significant plus.
  • Possesses excellent communication skills, both verbal and written.
  • Proficient in Microsoft Word, Excel, and PowerPoint.
  • Demonstrates strong organizational, project, and time management skills.
  • Knowledge of New York venues and vendors is a plus.
  • Exhibits creativity, flexibility, adaptability, excellent teamwork skills, and the ability to work cross-functionally.
  • Capable of working independently, meeting multiple deadlines, and responding effectively to change.
  • Ability to successfully interact with employees at all levels, including senior team members and Firm leadership.
  • Ability to maintain a professional demeanor consistently.
  • Adaptable to Firm preferences and standards, including communication style, written guidelines, and partner-specific expectations.
  • Must be articulate and possess a strong client service orientation.
  • Ability to remain poised and solution-oriented under tight timelines and during high-pressure events.
  • Availability to work overtime, including evening hours and some weekends, as needed.

Work Environment & Benefits

This Events Assistant position is located in Cravath, Swaine & Moore LLP's New York office and currently operates on a hybrid work schedule, which is subject to change. The standard hours are 9:00 a.m. to 5:00 p.m., Monday through Friday. The estimated salary range for this position is $62,000 to $65,000, plus overtime. Actual salary offers will consider relevant skills, training, experience, education, licensure, certification, and market and Firm factors.
