Executive Assistant
Our client, Corporate Diversity Pathways, has led the Buyers Agent industry since its foundation in 2009, setting the benchmark for an ethical, transparent, and open approach to representing buyers. Now, with a national presence and over $8 billion in completed property transactions, they’re growing and seeking an Executive Assistant to support an Associate Director in a high-performance, client-first environment.
This is an exciting opportunity for an Executive Assistant with real estate, property, or conveyancing industry experience who understands the full property lifecycle: campaign timelines, inspections, contracts, due diligence, stakeholder management, and what it takes to stay one step ahead. You’ll support an Associate Director who is passionate about property, highly professional, and genuinely warm and approachable. The Role
As the Executive Assistant to an Associate Director, you’ll be responsible for keeping day-to-day priorities running smoothly, managing diary and communications, coordinating property-related logistics, and acting as a key point of contact for clients, agents, solicitors, and other stakeholders. This is a high-trust role in a premium environment for someone who naturally stays two steps ahead.
Key Responsibilities
- Inbox + diary management: juggling back-to-back priorities, scheduling meetings, calls, inspections, auctions, and key deadlines
- Client experience: confident, timely communication — enquiries, updates, follow-ups, and seamless coordination
- Property campaign support: inspection schedules, campaign tracking, shortlists, feedback capture, and next-step actions
- Offers + admin: documentation, key dates, due diligence checklists, file, and CRM accuracy
- Stakeholder liaison: agents, vendors, solicitors, conveyancers, building/pest inspectors, and service providers
- Team coordination: ensuring internal communication flows, documents are prepared, and nothing falls through the cracks
About You
You’re already thriving as an EA/PA/Team Assistant in real estate or a property environment, and you bring:
- Proven experience supporting a high-performing agent/director/principal or similar
- A calm, polished approach with strong written communication and confident phone manner
- Exceptional organisation, attention to detail, and the ability to manage competing priorities
- Discretion, professionalism, and the judgment to anticipate needs before they’re voiced
- Strong systems confidence (CRM, calendars, documentation) and a “no surprises” mindset
