WHAT YOU'LL BE DOING

Support Project Management: Assist project managers with administrative tasks including preparing project status reports, tracking product shipments, preparing work orders, logging change orders and punch list documentation. Organize and maintain project files and records, develop project schedules and timelines, and proactively communicate project status, changes, and risks.

Drop Shipments: Distribute shipment notifications to stakeholders when products are delivered directly from vendor partners to client locations.

Punch List Resolution: Support quality assurance by verifying project deliverables against quality standards. Document outstanding issues, submit claims for vendor replacement, set up work orders for return trips, prepare final punch list documentation, and drive timely invoicing.

Service and Warranty: Communicate with customers and manufacturers to resolve repair issues, collaborate with Service Technicians, order parts and labor, schedule and confirm repair appointments, send reminders, and review completed work orders while generating daily invoices for vendor reimbursements.

WHAT YOU SHOULD HAVE

  • Experience in project coordination or a related role (preferred)
  • Bachelor’s degree in business, communications or related field preferred
  • Knowledge of commercial furniture solutions is an asset
  • Proficiency with Microsoft Office, Monday.com, ERP systems, and enthusiasm for learning new software
  • Strong multi-tasking, attention to detail, and initiative
  • Excellent communication, critical thinking and problem-solving skills

COMPENSATION AND BENEFITS

Base salary ranges from $47,000 to $62,500, determined by experience, skills, qualifications, and location. Benefits include Medical, Dental, and Vision insurance, company-paid disability insurances, Critical Illness and Accident insurance, HSA/DCA/FSA options, paid time off and holidays, Paid Parental Leave, and a 401k Match (50% of every 1% up to 4%).
