Position Overview

As a Bilingual Project Coordinator in our Project Management Office (PMO), reporting to the Portfolio Manager, you will schedule and prepare internal/client kick-off and close-out meetings in line with PMO processes. You will manage over 30 projects concurrently (each less than 3 months), act as an escalation point for clients, and oversee change management processes. Functional bilingualism in English and French is essential as projects involve clients in Quebec and Ontario.

Key Responsibilities

  • Review SOW and pricing sheet
  • Validate tasks setup in PPMPro
  • Prepare project repository in SharePoint
  • Host internal and external kick-off meetings
  • Explain escalation paths to clients
  • Create project contact lists with roles
  • Update account executives on project changes
  • Manage consultant time approval in PPMPro
  • Handle issue escalations and recommend solutions
  • Oversee change request process and project close-out
  • Distribute CSAT surveys and closure letters
  • Store required documentation

Skills & Qualifications

  • Minimum 3 years experience in project coordination or project management
  • College diploma or university degree in a relevant field
  • Strong multitasking and organizational skills
  • Detail oriented with a results-driven approach
  • Excellent communication and note-taking abilities
  • Comfortable presenting to clients
  • Ability to adhere to established processes and procedures
