Position Overview
As a Bilingual Project Coordinator in our Project Management Office (PMO), reporting to the Portfolio Manager, you will schedule and prepare internal/client kick-off and close-out meetings in line with PMO processes. You will manage over 30 projects concurrently (each less than 3 months), act as an escalation point for clients, and oversee change management processes. Functional bilingualism in English and French is essential as projects involve clients in Quebec and Ontario.
Key Responsibilities
- Review SOW and pricing sheet
- Validate tasks setup in PPMPro
- Prepare project repository in SharePoint
- Host internal and external kick-off meetings
- Explain escalation paths to clients
- Create project contact lists with roles
- Update account executives on project changes
- Manage consultant time approval in PPMPro
- Handle issue escalations and recommend solutions
- Oversee change request process and project close-out
- Distribute CSAT surveys and closure letters
- Store required documentation
Skills & Qualifications
- Minimum 3 years experience in project coordination or project management
- College diploma or university degree in a relevant field
- Strong multitasking and organizational skills
- Detail oriented with a results-driven approach
- Excellent communication and note-taking abilities
- Comfortable presenting to clients
- Ability to adhere to established processes and procedures
