The Opportunity: Reception & Administration Officer

Acting as the first point of contact for the site, the Reception & Administration Officer plays a critical role in ensuring the smooth day-to-day operations of the office and site administration functions. This role is responsible for managing reception, coordinating site-related office activities, liaising with visitors and contractors, and providing essential administrative and financial support to the site team.

Key Responsibilities

  • Act as the first point of contact for site visitors, contractors, staff and deliveries, managing enquiries both in person and over the phone.
  • Ensure all visitors and employees comply with site sign-in, safety and security requirements.
  • Coordinate courier and mail distribution (internal, external and interstate).
  • Provide administrative support to site management, including purchase orders, new supplier applications, onboarding documentation and general administration.
  • Administer site purchase orders and invoices, assisting with payroll and general financial administration.
  • Work closely with the weighbridge team to ensure all reporting and administrative requirements are completed accurately and on time.
  • Oversee office requirements including coordination of building maintenance, contractor access, repairs and equipment ordering.
  • Maintain office areas to a professional, clean and organised standard.
  • Coordinate onboarding and access arrangements for new starters, existing employees and visitors, including office and carpark access.

About You

  • Previous experience in a customer-facing role.
  • Experience in office administration (advantageous).
  • Exposure to contractor or facilities coordination.
  • Experience working within a large, multi-disciplined organisation (desirable).
  • Completed secondary schooling or equivalent.
  • Certificate IV or Diploma in Administration, Business Management or related qualification (or equivalent experience).
  • Intermediate Microsoft Office skills and the ability to quickly learn site-specific systems.
  • Strong organisational skills with the ability to manage competing priorities.
  • Professional communication skills and a proactive, team-focused approach.
