Job Description

Administration Officer

CL Technical Services Limited is seeking a diligent and experienced Administration Officer to oversee daily office operations and ensure an efficient workplace. This role is crucial for maintaining a smooth and welcoming office environment.

Key Responsibilities

  • Oversee daily office operations to ensure an efficient workplace.
  • Provide reception duties, including answering and referring telephone inquiries, and welcoming visitors by greeting and directing them appropriately.
  • Identify and report any issues related to facilities, equipment, cleaning, security, or building services, and coordinate with contractors and building management as required.
  • Support office and equipment maintenance, as well as cleaning services.
  • Arrange for the dispatch of incoming mails or documents received at the reception counter.
  • Monitor and evaluate contractor performance.
  • Verify invoice details and assist in arranging payments.
  • Assist in the procurement process by obtaining quotations and preparing procurement applications.
  • Provide administrative support for events and meetings.
  • Perform documentation duties such as filing and data entry.
  • Undertake other duties as assigned by supervisors.

Requirements

  • University degree or equivalent preferred.
  • Minimum 3 years of solid working experience in administrative duties.
  • Extensive experience in reception and office maintenance.
  • Mature, responsible, and reliable.
  • Strong service orientation and proven service delivery skills, with a high level of responsiveness.
  • Excellent communication, interpersonal, and organizational skills.
  • Proficiency in MS Word, Excel, PowerPoint, and Chinese word-processing.
  • Willing to work during non-office hours when required.
