About the role
Support Assistant - City of Toronto
The City of Toronto is seeking a temporary Support Assistant to join the Development Review, Policy & Committee of Adjustment division. This role provides crucial administrative and clerical support to the Committee of Adjustment section.
Responsibilities:
- Support the customer service counter by receiving and processing applications.
- Respond to public inquiries via in-person, phone, and written correspondence.
- Prepare, research, maintain, and process various documents, including proofreading and photocopying.
- Input, update, and maintain program-related data.
- Draft correspondence and prepare documents for managerial signature.
- Operate office equipment and computers using various software packages.
- Prepare presentation materials and forms.
- Maintain filing and retrieval systems.
- Coordinate meeting rooms, bookings, and special requirements.
- Handle mail distribution and assist with public hearing notices.
- Attend meetings and public hearings, taking and transcribing minutes (may occur outside regular hours).
- Monitor and maintain office supplies and resource materials.
- Provide general clerical assistance to the Administrative Support team.
Key Qualifications:
- Experience in a customer service environment, handling inquiries through multiple channels.
- Proven ability to accurately record and transcribe formal meeting minutes.
- Experience managing filing systems and large volumes of information (hard copy and electronic).
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, Teams), Adobe Acrobat, spreadsheets, scheduling, and web-based resources.
- Experience performing a range of clerical and administrative support duties.
