Job Description

Under general supervision, this position plans and performs administrative support to the Administrative Bureau Chief in an often sensitive and rapidly changing environment.

Examples of Work Performed:

  • Receive telephone calls and visitors, routing them to appropriate personnel.
  • Compose letters, statements, memos, labels, and other documents as directed.
  • Create presentations and spreadsheets, proofread correspondence, marketing collateral, and media releases.
  • Assist with schedules and appointments for the Administrative Bureau Chief.
  • Provide exemplary customer service using a multi-line phone system.
  • Maintain absolute confidentiality and discretion of City information and job-related issues.
  • Establish and maintain department files.
  • Attend staff and board meetings, taking and transcribing meeting minutes.
  • May require attendance to events or meetings after hours or weekends.
  • Perform other tasks as directed by the Administrative Bureau Chief.

  • Strong organizational skills and the ability to prioritize tasks.

Required Education, Training, and Experience:

  • High school diploma or equivalent required.
  • Minimum of five years of administrative work or related field experience, preferably in a municipal setting.

Desired Training and Experience:

  • College degree in Business Administration, Marketing, or Public Relations is preferred.
  • Experience with completing open records requests is a plus.

Essential Physical Functions:

The physical activities for this position include reaching, standing, walking, fingering, grasping, feeling, talking, and hearing. This role involves sedentary work, exerting up to 10 pounds of force occasionally. Visual acuity for close-up computer work and detailed inspection is required.
