Job Description

Building Permit Clerk - City of Grapevine

The Building Permit Clerk plays a crucial role in supporting the Building Services Department by managing permit applications, issuing permits, and providing essential administrative assistance. This position involves significant public interaction and requires a working knowledge of city procedures and permit-related processes. The clerk will handle a variety of semi-technical tasks, ensuring accuracy and efficiency in all operations.

Key Responsibilities

  • Receive and process building, mechanical, plumbing, electrical, and other permit applications.
  • Review permit submittals for completeness and ensure all requirements are met.
  • Issue permits and contractor registrations accurately and efficiently.
  • Respond to basic semi-technical inquiries from the public regarding permit activities and department procedures.
  • Collect fees, manage funds, and maintain daily transaction records.
  • Assist contractors and citizens with information requests and provide necessary documentation.
  • Maintain organized records of documents, correspondence, reports, and financial summaries.
  • Compile regular reports as per standard operating procedures.
  • Utilize office equipment, including computers and calculators, for data entry, transcription, and information retrieval.
  • Proofread and edit work for accuracy and completeness, maintaining production records.
  • Perform related duties as assigned to support department operations.
  • Ensure regular and timely attendance.
  • Interact professionally and respectfully with the public, coworkers, and stakeholders.

Skills, Knowledge, and Abilities

  • Proficiency in Microsoft Office Suite.
  • Familiarity with online permitting software.
  • Excellent organizational and communication skills (verbal and written).
  • Willingness to learn and step outside of comfort zone.
  • Team player capable of working in a fast-paced, deadline-driven environment.
  • Strong customer service orientation with a desire to assist all customers.
  • Ability to work independently with minimal supervision.
  • Capacity to learn new applications as required.

  • Good knowledge of spelling, punctuation, grammar, and formatting.
  • Proficiency in basic mathematical calculations.
  • Typing speed of 30 WPM.

Education, Experience, and Other Requirements

  • High school graduate or equivalent.
  • Two years of office experience with heavy public contact, or an equivalent combination of education, training, and experience.
  • Experience in collecting fees and construction terminology is highly preferred.
  • Must pass computer and language arts skill tests (Proofreading, Spelling, Editing/Formatting).
  • Must pass a Federal/National criminal background check and credit check.
  • Must possess a valid Texas driver's license with an acceptable driving record.
  • Must pass a pre-employment drug screen.

Working Conditions and Physical Demands

This position operates in a standard office environment with moderate noise levels. Employees are rarely exposed to disagreeable environmental factors. The role requires regular performance of light to medium work, involving walking, standing, and using computer equipment. Employees must be able to use hands to finger, handle, or feel; reach with hands and arms; talk and hear; stand, walk, stoop, or crouch. Occasional lifting and/or moving up to 25 pounds may be required. Specific vision abilities include close and distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
