Job Summary

The Administrative Specialist II - Airfield Management provides intermediate to advanced administrative support across several functions including accounting, procurement, contract development, budgeting, and asset management for the Airfield Management division.

Essential Functions

  • Perform advanced administrative functions in financial and record management.
  • Assist in accounting tasks, budget analysis, and report preparation.
  • Coordinate meetings, conferences, and departmental events.
  • Maintain, update, and manage records, documents, and contracts.
  • Manage work orders, purchase requests, and vendor communications.
  • Operate City-owned equipment for deliveries and pickups.
  • Assist in creating training materials and organizing morale events.
  • Provide excellent customer service and handle inquiries on policies and procedures.

  • Office practices and administrative procedures.

  • Data analysis, report preparation, and record keeping.
  • Ability to lead, train and coordinate teams.

Minimum Qualifications

High school diploma or GED with four years of relevant administrative support experience, including skills in accounts payable/receivable, invoice reconciliation, procurement, budgeting, contract administration, and records management. Equivalent education combinations are accepted.

Licenses and Certifications

May require a valid driver's license and a good driving record. For Aviation positions, a TSA Background check is required.

Additional Responsibilities for Airfield Management

Support the Airfield Management division by maintaining the Financial and Asset Management system, organizing employee events, tracking budgets, managing contracts, and handling both electronic and physical inventory.

  • Experience with parts sales/services and heavy equipment parts procurement.
  • Familiarity with electronic and physical inventory management.

Salary Range

$24.39 - $27.71 hourly; starting salary dependent on qualifications.
