Job Summary

The Administrative Support Specialist will provide advanced administrative and operational support. This position involves a wide range of duties, including supporting leadership, coordinating office and project functions, and ensuring adherence to company policies and procedures.

Essential Duties and Responsibilities

  • Provide administrative and project support to managers and divisions.
  • Prepare and review correspondence, reports, presentations, and spreadsheets with a high degree of accuracy.
  • Track and process invoices and purchase orders.
  • Serve as a liaison between departments, vendors, and clients to ensure clear communication and efficient workflow.
  • Purchase and manage supplies and equipment, including researching items, obtaining price quotes, and receiving purchase orders.
  • Enter job-related information (job numbers and other project-specific information) into the database.
  • Review, track, and prepare invoices and purchase orders, and maintain transaction records.
  • May coordinate calendars, meetings, and travel for management and key staff.

Education and Experience

  • High School Diploma required.
  • 3-5 years of related experience is necessary.

Computer Skills

  • Proficiency in Microsoft Office Suite is required.
  • Experience with D365 is helpful.

Physical Demands

This role requires prolonged periods of sitting at a desk and working on a computer. Occasional lifting of up to 25 pounds (files, binders, office supplies) may be necessary.
