The Opportunity

The Project Coordinator supports the successful execution of software upgrade projects by coordinating schedules, managing communication and ensuring team alignment with customers. This role emphasizes initiative, attention to detail, and the ability to manage administrative tasks with professionalism.

What You Will Do

  • Proactively schedule upgrade activities and coordinate resource availability with the Upgrades Team.
  • Serve as the primary administrative contact, ensuring timely and accurate customer communication.
  • Prepare and distribute progress reports, meeting agendas, and status updates.
  • Conduct basic file reviews for technical processing readiness.
  • Coordinate secure file transfers following standard security and data handling procedures.
  • Update project schedules based on priorities, availability, and customer readiness.
  • Document and escalate risks or scheduling conflicts as needed.
  • Maintain professional and courteous communication with clients and internal stakeholders.

Requirements & What You Will Need to Succeed

  • Post-secondary degree in business administration, government administration, project management, or related field (or equivalent experience).
  • 1–3 years experience in coordination/administrative roles, preferably in a software or technology setting.
  • Strong written and verbal communication skills with a professional tone.
  • Highly organized with excellent time management and attention to detail.
  • Comfortable using project scheduling and communication tools like Smartsheet, Outlook, and SharePoint.
  • Basic understanding of file transfer protocols, data privacy, and security principles.
  • Ability to manage competing priorities and maintain composure under pressure.
  • Customer-focused with a proactive, team-oriented approach.
