Administrative Assistant - Coordinated Access
The Centre for Addiction and Mental Health (CAMH) is seeking a full-time Administrative Assistant for the Coordinated Access department. Reporting to the Director, this position provides senior administrative and clerical support to the Manager, Medical Leads, and Director.
Responsibilities
This role supports the day-to-day operations of the department, ensuring consistency with CAMH administrative processes. Key responsibilities include:
- Coordinating and maintaining calendars.
- Preparing meeting agendas and minutes.
- Managing department supplies, payroll, and staffing schedules.
- Composing and editing documents, including letters and reports.
- Preparing PowerPoint presentations.
- Assisting with grant/funding proposals.
- Coordinating engagement events with internal and external partners (arranging rooms, equipment, catering).
- Providing support with human resource activities (staff and trainee orientation, onboarding/offboarding).
- Assisting with financial tasks: purchasing, invoicing, expense claims, and credit card reconciliations.
- Generating and maintaining reports on department scorecards and data requirements.
- Supporting a workplace that embraces diversity, teamwork, and complies with health and safety regulations.
This position is located at 1051 Queen Street.
Qualifications
- Post-Secondary Certificate or Diploma in Office Administration or a related discipline.
- 3-5 years of secretarial/administrative experience preferred.
- Excellent communication, interpersonal, customer service, and collaboration skills.
- Excellent organizational and time-management skills.
- Attention to detail and ability to handle sensitive information.
- Proficiency in MS Office Suite (Word, PowerPoint, Excel, Outlook) and virtual meeting applications.
- Demonstrated ability to prioritize work effectively with minimal supervision.
- Ability to multi-task under pressure, deal with conflicting priorities, and coordinate projects to deadlines with accuracy.
- Strong writing and editing skills, including proofreading and writing meeting summaries.
- Demonstrated high degree of confidentiality, tact, and discretion.
- Proven skills in organizing events of various scales.
- Strong financial skills, including tracking expenditures and monitoring budgets.
- Commitment to equity, inclusivity, respect, and social justice principles.
- Demonstrated success working within inter-professional teams and partnerships.
- Ability to work with diverse cultural and social backgrounds.
- Familiarity with Ontario’s Mental Health and Addiction system/services.
Compensation & Benefits
Hiring Salary Range: $53,230.40 – $66,538.00 per year (based on qualifications and experience).
Full Salary Range: $53,230.40 – $79,845.60 per year.
