Role Overview

Calix provides the cloud, software platforms, systems and services required for communications service providers to simplify their businesses, excite their subscribers and grow their value. The Administrative Assistant - Sales supports multiple Vice Presidents in our Sales organization in a remote work environment from home.

Responsibilities & Duties

  • Manage daily calendars for multiple Sales Vice Presidents.
  • Pull and analyze reports from Salesforce, Power BI, and other sources.
  • Utilize Excel for data organization, manipulation, and visualization.
  • Leverage AI tools such as Copilot for research and drafting communications.
  • Conduct research and prepare presentations and documents.
  • Assist in planning and executing company events and conferences with annual travel.
  • Source goods and services, generate purchase requisitions, and process invoices.
  • Evaluate requests based on available resources and data.
  • Learn and understand team processes to improve efficiency.
  • Collaborate with Executive Assistants and provide backup support when needed.
  • Coordinate travel arrangements and prepare detailed itineraries.
  • Submit and reconcile monthly expense reports accurately.
  • Create and manage distribution lists, organizational charts, and administrative systems.
  • Maintain and update Chatter groups within Salesforce.
  • Execute various projects with a focus on timely, high-quality delivery.

Qualifications

  • Minimum of 3 years’ experience as an Administrative Assistant.
  • Advanced proficiency in Excel including formulas, scripts, and data visualization.
  • Proficient in Microsoft Office Suite, Adobe Acrobat, and Microsoft Teams.
  • Experience with Salesforce reports and Power BI is preferred.
  • Resourceful, proactive, and adaptable with AI tools and systems.
  • High school diploma or GED required; Bachelor’s degree preferred.
  • Ability to travel annually for the Sales Kickoff event.
  • Excellent time management, interpersonal, and communication skills.
  • Strong project management and organizational skills.

Location

This is a Remote position based in Canada, ideally in the EST or CST time zones.
