Job Description
The Contract Administrator will serve as a key member of the Enterprise Solution Center team, responsible for managing administrative functions across all company contracts and establishing standardized processes for contract lifecycle management. This role will be instrumental in building and documenting CAI's contract administration framework from the ground up, while providing critical support to the Governance, Risk, and Compliance (GRC) team. This position will be full-time and remote.

What You’ll Do
Contract Administration
- Manage end-to-end administrative activities for all customer contracts
- Coordinate customer onboarding processes, ensuring all required documentation is collected and processed efficiently
- Request, collect, track, and maintain Certificates of Insurance (COI) from subcontractors and vendors
- Process and maintain W-9 forms and related tax documentation
- Ensure compliance with contractual requirements and company policies
- Maintain organized contract files and documentation repositories
Client Reporting & Compliance
- Prepare and submit contractually mandated reports to client agencies according to specified schedules
- Coordinate with internal stakeholders to gather required reporting data and documentation
- Ensure accuracy and timeliness of all client-facing compliance deliverables
- Track reporting deadlines and proactively manage submission calendars
- Maintain repository of submitted reports and client correspondence
- Respond to client inquiries regarding administrative and reporting matters
Contract Database Management & GRC Support
- Maintain accurate and up-to-date contract information in company database(s)
- Support GRC team with contract data entry, updates, and reporting requirements
- Ensure contract metadata, key dates, and compliance information are properly captured
- Generate reports and dashboards for GRC audits and compliance reviews
- Assist with contract renewal tracking and notification processes
- Participate in database optimization and data quality improvement initiatives
Process Development & Documentation
- Create comprehensive standard operating procedures (SOPs) for all contract administrative functions that are designed to scale with organizational growth
- Document existing workflows and proactively identify opportunities for process improvement and efficiency gains
- Develop templates, checklists, and tools to streamline contract administration activities
- Establish quality control measures and audit procedures
- Build scalable knowledge base resources for cross-functional teams
- Recommend and implement process enhancements that reduce manual effort and improve accuracy
Stakeholder Collaboration
- Serve as primary point of contact for contract administrative inquiries
- Coordinate with Finance, Legal, Procurement, GRC, and Delivery teams on contract-related matters
- Support proposal and business development teams during pre-award phases
- Communicate status updates and resolve administrative bottlenecks
What You'll Need
- 2+ years of experience in contract administration, legal operations, or business operations
- Strong organizational skills with exceptional attention to detail
- Proven ability to create clear, user-friendly process documentation with scalability in mind
- Experience preparing formal reports and client-facing documentation
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint)
- Experience with database management and data integrity practices
- Excellent written and verbal communication skills
- Ability to manage multiple priorities and deadlines in a fast-paced environment
- Continuous improvement mindset with ability to proactively identify inefficiencies
- Experience with or demonstrated willingness to learn AI-powered contract management and automation tools
- Experience with contract management systems or CRM platforms (Salesforce experience a plus)
